Features

Zeroni's menu structure consists of two levels: a gray company-level menu and a black site-level menu. This guide compiles all of Zeroni's menu functions regardless of user role, so your view in Zeroni may differ from what is described in this guide.

Sites

The Sites page contains information about the work site, quick links for adding employees or subcontract agreements and personnel reports, notifications, an overview of the site, graphs, as well as orientation and attachments.

Persons

Through the Persons tab, you can manage individuals' site permits and process work permits, hot work permits, and vehicle permits.

• Adding Employees

The system allows for the electronic issuance of access permits to individuals. The access identifier can be the person's Valtti card or a separate access identifier. Site permits can be added to a person either by their Valtti card number or tax number.

• Qualifications

The system monitors the validity of qualifications required from employees. Qualifications stored in the Taito Competence Register are automatically updated in the system.

• Orientation

Employees can be oriented within the system while their site permits are created.

• Automatic Authority Reporting, Employee Notifications

Zeroni's contract partners and their subcontractor employees' presence data or access control stamp data can be used for the monthly employee notifications required by the Finnish tax authorities.

Contractors

• Contract Management

Contractors and subcontractors working at the site are added to the construction site. When adding a contractor, the system automatically identifies which YTJ (Finnish Business Information System) company is in question from the business ID.

• Contractor Liability

The system monitors the status of the Vastuu Group's "Reliable Partner" report for contractors working at the site and notifies if there are any deficiencies in the report. The system also monitors the validity period of manually entered and verified contractor liability documents and notifies when they expire.

• Automatic Authority Reporting, Contract Notices

When contract details are selected to be sent automatically from the system, the details are sent on the first possible working day of the following month. The system sends contract information where the estimated amount is at least €15,000.

When establishing a new construction site, it is also possible to choose whether the agreement between the customer and the main contractor is a founding agreement. In this case, Zeroni understands to send the construction site's date to the tax authorities, and separate contract sums are not needed.

Check-ins and Access Control

Access control solutions ensure that only approved individuals gain access to the construction site.

Zeroni uses Inoptics Oy's NFC check-in devices for access control. After a site permit has been added for an employee at the construction site, they can check-in and out through the NFC check-in device using their Valtti card, a separate access identifier, or mobile check-ins.

Invoice hours (additional service)

• Invoice hours, travel, and expense reimbursements

Contractors can fill in their employees' hours on a site-specific basis for billing purposes. Employees can also fill in site- or project-specific invoice hours themselves, as well as fill in travel and expense reimbursements and submit them for approval by their supervisor or payroll.

Digital invoice hours for reporting employee hours and tracking worked hours reduces manual work and paper usage.

Safety

Report safety observations in the Teehavainto.fi service. The construction site area is defined in the system so that the construction site is visible in the Teehavainto.fi service. The browser-based Teehavainto.fi identifies nearby construction sites based on the device's location. When reporting a safety observation, you can add a photo of the situation, a brief description of the issue, and your own details. The site handles the rest. There are three standard reports: Safety Observation, Environmental Observation, Quality Deviation. Observations appear in the system as unconfirmed safety observations.

In Zeroni, individual observations can be recorded and directed to responsible contract partners or safety personnel.

• Error and Deficiency Lists

The program also allows for the creation of more extensive error and deficiency lists. Recording an observation works on the same principle as an individual observation.

Diaries

• Site Diary, Contractor Diary

Zeroni allows you to maintain site-specific or contractor-specific site diaries. The site diary automatically retrieves the daily headcount from the site's access control and weather data from the Finnish Meteorological Institute's measurement stations. The supervisor can comment on and sign the diary entries when their own Zeroni credentials have been created.

Reports

Zeroni generates the reports required by regional state administrative agencies (AVI) for you, among others. Reports can also be saved and shared with different implementation or project organizations within your company.

Messaging

You can send SMS or email messages through Zeroni as well as notice board messages to your selected target group (e.g., foremen, clocked-in employees, new construction sites).
